The Position

Department: International Healthcare Ministries (IHM)

Supervisor: Director of International of Healthcare Ministries

Supervisory Responsibility: None

Job Summary/Primary Role: The International Healthcare Administrative Assistant assists the office of International Healthcare Ministries to run as efficiently as possible as we serve our missionary family and International Headquarters staff.

Essential Functions and Responsibilities include but are not limited to:

  • Provide support to missionary healthcare providers by maintaining healthcare files including electronic medical records, assisting as an office visit chaperone, and sending necessary documents when needed.
  • Assist the IHM staff in planning, publicizing and organizing Healthcare Evangelism Team trips, including receiving inquiries for participation, directing persons to the appropriate application process, reviewing applications, arranging for short-term trip insurance and gathering, collating and distributing surveys from participants.
  • Assist the Director of IHM in planning for events, conferences and team meetings.
  • Record team meeting minutes and track progress on “to-do” list.
  • Maintains department calendar.
  • Maintain healthcare licensure spreadsheet for ABWE employees and volunteers.
  • Serve as the first point of telephone contact for ABWE missionaries and appointees with healthcare questions and outside inquiries to IHM regarding possible service opportunities.
  • Design and coordinate project/fundraising newsletters and display materials.
  • Maintain equipment and supplies in the exam rooms and First Aid Backpacks.
  • Maintaining the IHM website for position postings.
  • Maintain an organizational spreadsheet for personnel changes (resignations, retirements or terminations) and file status.


  • Ability to pass background check and all necessary clearances as mandated by the Commonwealth of Pennsylvania.
  • Education: Associate’s Degree or Medical Assistant Certification.
  • Minimum Prior Experience: 1-2 years in a medical office or administrative setting.
  • Strong computer skills including a working knowledge of Microsoft Office Suite and the ability to learn and utilize Salesforce.
  • Familiarity with medical terminology preferred.

Physical Demands and Work Environment: The physical demands are minimal and typical of similar jobs in comparable organizations, including extended periods of time sitting at a desk. The work environment is representative and typical of similar jobs in comparable organizations. While performing the duties of this job, the employee is regularly required to sit for extended periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stand; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a moderate to high noise level.
