Graphic Designer/Administrative Specialist

Job Summary/Primary Role: A graphic designer/administrative specialist for Global Operations plays a key role in keeping the operations and activities for the assigned region organized and on track. This individual needs to have excellent communication and computer skills, have the ability to work independently and take direction from leadership. High capacity to complete work and keep the office organized in a fast-paced and changing environment will be necessary.

Responsibilities include but are not limited to:

  • Completes a variety of administrative tasks for the Executive Director including: managing the calendar, coordinating scheduling needs, sending emails, answering incoming telephone calls, opening and distributing mail, obtaining signatures, organizing travel and agendas, and preparing and proofing documents/media for meetings and presentations.
  • Assists the Executive Director as requested in planning for events including coordinating the agenda for meetings, reserving conference rooms, IT needs and taking minutes. Works with the Corporate Events Coordinator to plan large on-campus and off-campus events for the region.
  • Serves as the first point of contact for ABWE missionaries and provides a bridge for smooth communication between the missionaries and other departments.
  • Maintains relevant files and database records for missionaries.
  • Creates presentations and reports in various Microsoft Office products, such as Power Point, Excel and Word.
  • Assists in the mobilization of volunteers to various projects and fields.
  • Designs and coordinates project/fundraising newsletter.
  • Maintains ABWE website with service opportunities. Creates and posts to regional social media accounts such as Facebook, Twitter and Instagram.
  • Performs other duties or special projects as required or as assigned.

Qualifications: Ability to pass background check and all necessary clearances as mandated by the Commonwealth of Pennsylvania.

Education: High School Diploma or GED required, Associate’s Degree preferred.

Minimum Prior Experience Required:

  • Previous administrative assistant experience or experience in a related field/capacity required.
  • Website backend navigation, uploading and maintenance preferred.
  • Working experience of knowledge of Customer Relationship Management software preferred.
