Job Summary/Primary Role: The Corporate Events Coordinator will help to create a culture of excellence for ABWE by cultivating an atmosphere of joy, service, generosity and volunteerism. This individual will assist all departments of the International Headquarters with events taking place on behalf of ABWE throughout the year, whether in New Cumberland, PA or elsewhere. This individual will work closely with the event sponsoring department as well as support departments within ABWE including Food Services, Volunteers, Facilities, Guest House, Communications, IT, and Child Care. Any events planned outside of the International Headquarters will be facilitated by the Events Coordinator as the main contact for the predetermined location for the event.

Essential Functions and Responsibilities include but are not limited to:

  • Listening closely to sponsoring departments needs and desires for the outcome of the event.
  • Executing the requirements completely with follow-up provided for the department to understand the effectiveness and quality of the event.
  • Crafting detailed event plans and making advance presentations of any proposed ideas to the sponsoring department as needed.
  • Securing venue contracts, interview and hire appropriate vendors, assign employees and volunteers to carry out assigned tasks, coordinating talent, food, childcare, media, room assignments and set-up.
  • Using depth of food and hospitality knowledge to accommodate guests’ needs as well as restrictions.
  • Understanding of budgeting and ability to contain costs to meet those restrictions while still providing an original and interesting event.
  • Planning and logistics for 15-20 large-scale yearly events throughout the organization, both on and off-campus.
  • Preparing and executing the communication plan for each event to insure attendees are well informed and prepared.
  • Assists with small on-campus events such as staff meetings and trainings.
  • Other assignments as assigned.

Qualifications: Ability to pass background check and all necessary clearances as mandated by the Commonwealth of Pennsylvania. Maintain a valid passport and US driver’s license.

Minimum Prior Experience: Previous experience in event planning or hospitality management required.

Education: Bachelor’s Degree in business management, hospitality, communications, missions or ministry-related field preferred.

Flexibility: This position requires work and travel within the United States including some weekends. International travel is possible.
