Job Title: Administrative Assistant Department: President’s Office

Location: ABWE Headquarters, New Cumberland, PA

Job Type: Part-Time/Hourly/Non-Exempt

Supervisor: Executive Administrator for President’s Office Operations

Supervisory Responsibility: None

Job Summary/Primary Role: The Administrative Assistant will assist in keeping the operations and activities of the President’s Office organized, ensuring that the team priorities are met. While working in a fast-paced and changing environment, this individual will need to utilize both strong communication and organizational skills to facilitate the efficient operations of the President’s Office.

Essential Functions and Responsibilities include but are not limited to:

  • Providing administrative support for the office.
  • Creating presentations, reports, invitations, etc.
  • Assists with meeting logistics for the President’s Office.
  • Coordinating team meetings by preparing agendas, taking, and distributing minutes, etc.
  • Assisting as needed in planning and preparation for Board of Directors meetings to include assembling information, handling logistics, facilitating communications, and recording minutes.
  • Coordinating with various departments in ordering gifts for recognitions, such as graduations and retirements.
  • Creating, editing, and recording correspondence and communications including birthday cards, Global Gospel Fund appeal letters, thank you notes, sympathy cards, emails, and large holiday mailings for the President’s Office.
  • Creating a hospitable experience for guests of the President’s office by preparing gift bags, notes, giving tours, and other arrangements.
  • Maintaining office supply inventory and ordering floral arrangements for retirements, funerals, donors, and retiring board members.
  • Digitizing and electronically filing President’s Office documents.
  • Assisting in executing the strategy and goals of the President’s Office.
  • Performs other duties or special projects as required or as assigned.

Qualifications: Ability to pass background check and all necessary clearances as mandated by the Commonwealth of Pennsylvania.

Education: Associate’s Degree in business, office management or similar.

Minimum Prior Experience Required: Previous experience in office administration or similar.

Physical Demands and Work Environment: The physical demands are minimal and typical of similar jobs in comparable organizations, including extended periods of time sitting at a desk. The work environment is representative and typical of similar jobs in comparable organizations. While performing the duties of this job, the employee is regularly required to sit for extended periods of time, talk or hear; perform fine motor, hand, and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stand, walk, and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception, and the ability to adjust focus. The employee will spend their time in an office environment with a moderate to high noise level.
